Job Summary:  Our client is seeking an experienced, professional Workplace Services Coordinator to join the team in Chicago, IL.  In this role, you will report to the Associate Manager of Workplace Services, Chicago. The Workplace Services Ambassador makes the first direct impression on our Salesforce Ohana; you will need to be comfortable with navigating River North and will be a constant resource for our employees and guests, while exuding a high level of hospitality and customer service.

Duties:
  • Handle all guest and employee interactions with the highest level of hospitality and professionalism, ensuring we are always managing & exceeding expectations
  • Understand Salesforce brand and product positioning with the ability to ensure consistent, on-brand messaging
  • Assist internal customers (employees) with all Workplace Services related items
  • Greet and direct guests in a timely and professional manner
  • Assist with guests check-in experience
  • Help direct visiting employees and executives to available seating and conference rooms
  • Notify staff of visitors, candidates, customer arrivals, etc.
  • Notify internal customers (employees) of catering order arrivals
  • Provide events support - room and catering set ups, etc.
  • Complete a weekly check of Visitor access cards; ensure all cards are accounted for and returned daily
  • Maintain an electronic list of access cards assigned to visitors, providing lost or damaged access card numbers to the security team for cancellation
  • Respond to and follow up on all incoming emails and instant messages (Slack) in a timely and efficient manner
  • Maintain a presence on Slack (Salesforce centralized communications pages), sending periodic (as needed) reminders
  • Assist with the overall maintenance of the organization – communicate any and all maintenance issues
  • Facilities team/Building management in a timely and efficient manner
  • Submit timesheet for approval every Friday
 
Desired Skills/Experience:
  • Previous hospitality experience; candidates from luxury hospitality, high-end retail, or other high-touch customer service roles are particularly encouraged to apply
  • Energetic and very flexible with schedule, given it can change with short notice and change weekly
  • Excellent written and verbal communication and customer service skills, with the ability to proactively address clients’ needs
  • Excellent interpersonal communication skills
  • Proficient at using the Microsoft Office Suite and Google Apps (Google Calendar required)
  • Must be willing/able to learn and use our internal Salesforce.com software application
  • Ability to take direction and follow oral and written instructions
  • Good writing, analytical, and problem-solving skills
  • Ability to operate standard office equipment (telephone systems, copiers, scanners, printers, fax machines)
  • Experience with online registration systems and reporting
