Job Title: Administrative Assistant II


Job Description & Responsibilities

This position will provide administrative support for the Tax Department. Responsible for performing a variety of administrative and paraprofessional duties with minimum supervision that are related to the work of the income and transaction tax teams, which requires a thorough knowledge of office routine and procedures related to their work. This individual will also interact with management on a day-to-day basis, handling confidential documents and materials. This individual will be required to take on special projects, as needed.

Administrative Tasks: 

  • Set up all conference calls and meetings for department head 
  • Manage department head's calendar, expense report and answer phone 
  • Process mail daily, which includes scanning withholding mail to payroll in Houston 
  • Process all invoices related to tax department
  • Obtain officer signatures as needed
  • Reconcile P-Card payments, professional services and department tax subscriptions and invoices 
  • Daily check requests to AP (liaison between AP and tax department) 
  • Department invoice coding/payments
  • Order and maintain supplies, send FedEx certified mailing

Paraprofessional Tasks: 

  • Prepare the certified receipts for each state tax return (not e-filed) and various notices throughout the year 
  • Complete and file annual reports 


Skills, Experiences, Knowledge

  • 2+ years of Administrative Assistant experience, preferably supporting an Executive and/or Tax team 
  • Associates degree or higher 
  • Working knowledge of administrative support and operations of a tax department
  • Strong written and verbal communication skills 
  • File organization, research, computational work, and creating spreadsheets 
  • Proficient in MS Office (Word, Excel, Access, PowerPoint) 
  • Ability to handle multiple workstreams and competing deadlines
